Office Assistant
Wizard is seeking to hire an Office Assistant/Financial Controller who will serve as a key point of support for management and the team.
Main Responsibilities:
Administrative & Secretarial Support
- Reception and visitor services (welcome support).
- Call center management and communication with external IT agency.
- Google Workspace admin management.
- Company mobile phone for 2-factor authentication.
- Management, updating, and registration of incoming leads in Active Campaign (CRM).
Office Organization & Daily Operations
- Coordination of cleaning crew.
- Monthly supply orders.
- Ensuring smooth daily office operations.
HR Support & Internal Procedures
- Leave management and related updates.
- Recruitment process support.
- Organization and implementation of new employee onboarding.
- Organization and management of evaluation questionnaire collection.
- Organization and management of corporate events.
Finance & Collection Support
- Issuing monthly customer invoices.
- Monitoring collections & communicating with customers.
- Collaborating with an external accounting firm.
- Collecting and organizing expense receipts from the internal team.
Brand & External Initiatives (Ad Hoc Tasks)
- Managing registration processes with professional bodies & communities (EEDE, Marketing Hub, etc.).
- Communicating with podcasts, conferences, and events regarding the company’s participation.
- Supporting the creation of financial offers and presentations (PPTs).
- Participation in initiatives such as the CEO Initiative Club.
Required Qualifications:
- Excellent organizational and communication skills.
- Ability to manage multiple tasks and priorities.
- Comfortable with digital tools (Google Workspace, CRM, ERP).
- Professionalism, discretion, and team spirit.
- Previous experience in a similar role will be considered an additional asset.
- Excellent knowledge of English.
